Vendor Information

Do you have a product or service you think would be a great fit at Ballad Health? Are you an existing vendor? This page is your guide to acquiring and maintaining credentialing requirements, as well as general behavior expectations.

Ballad Health requests that our vendor population acts as partners in achieving our mission to “honor those we serve by delivering the best possible care” and our vision, “to build a legacy of superior health by listening to and caring for those we serve.” All vendors entering a Ballad Health Facility need to meet the requirements and have the proper credentials ready, as laid out on this page.

Only through mutual collaboration, professionalism, and ethical behavior can we reach these goals.

Demonstration of products and services by vendor representatives at any Ballad Health facility is a privilege, not a right. Non-compliance to Ballad Health policy will result in financial penalty and/or suspension of privileges to all locations. Habitual non-compliance will result in permanent suspension from participating as a Ballad Health vendor partner.

Credentialing process and access levels

Ballad Health partners with a third-party vendor management agency ‘symplr’ to ensure credentialing and compliance requirements are met and maintained. It is the vendor representative’s responsibility to ensure all credentials are maintained and current. Ballad Health will not remind you of upcoming expirations. It is the vendor representative’s responsibility to understand and adhere to all policies and credentials. There are no exceptions to this policy.

How to register as a vendor

To create an account and get registered as a vendor, visit ‘symplr’s’ website. Click on the "Create my symplr Access account" button to get started.

Several Access Levels are available during registration. See our Credentialing Level Matrix for details on required credentials for each access level. Note that the ‘General Credentialing Level’ access is by invitation only and is designed for non-supply related representatives and contractors.

Level 1: Provides access to all areas in a facility including procedural areas (Operating Room, Cath Lab, etc).
Level 2: Provides access to enter patient care areas. No access to procedural areas.
Level 3: Provides access to general facility areas. No access to procedural or patient care areas.
Level 4: Provides basic access to physician offices and pharmacy only.

Pharmaceutical vendors are managed under a separate policy and are forbidden to enter any hospital or clinic without prior approval by Corporate Pharmacy.

During the registration process, Ballad Health encourages you to fully read and understand our Vendor Management Policy and Code of Ethics.

Required documents

During the credentialing process, you will have an option to submit declinations (vaccines, etc). While declinations are accepted in the mechanics of registration, your status will remain as ‘red-light’ until documentation showing approval by your company’s human resources department is submitted to Ballad Health.

This policy mirrors the expectations of all Ballad Health Team Members, who also must submit appropriate documentations (medical or religious) for exemption.

New product policy

All new product requests must be submitted and vetted by Ballad Health Supply Chain prior to introduction to patient care areas. No exceptions are allowed.

Vendor requirements to visit a facility

Once you have registered as a vendor and have received your symplr credentials, Ballad Health requires all vendor representatives have the following when visiting a facility:

  • Green-light credentialing status in symplr
  • Check-in via the symplr app upon entry to any facility
  • A printed day badge must be worn at all times signifying compliance with these requirements. Day-badges are only valid for the specific facility where they are printed and do not transfer to other locations.

If you are required to visit multiple locations on the same day, you are expected to check-in at each facility.

Scheduled appointments are required for all vendor visits except when providing case support in a Ballad procedural area (OR, Cath Lab, Interventional Radiology, etc).
